Can Jobs with activity be renumbered in MAS90 Job Cost?

By Wayne Schulz • January 28th, 2009

Job numbers in the Sage MAS 90 or MAS 200 (all versions) Job Cost module may not be renumbered once there are transactions posted against them.

You may go to the Job Cost module – Reports Menu – and run the Job Transaction Detail Report to view the transactions which exist for a job (Sage KB entry 469891)

There presently is no utility within MAS 90 or MAS 200 to renumber/change the Job Number numbering when transactions exist. I am unaware of any utility that is produced by third parties – including Sage Extended Solutions.

While Sage has in prior years introduced enhancements during the upgrade process so that Vendors, Customers, General Ledger Accounts and Inventory Items may be renumbered – I think it is unlikely that they will do so for Job Cost – however only Sage can speak to their future product development plans.

The primary reason that renumbering a Job number is complicated is that the data is spread out amongst several different files. The Sage MAS 90 and 200 product prevent you from making changes to this number (provided history exists) to protect against having “orphaned” records where the detail for a job number might exist in a history data file but have no corresponding master item.

It might technically be possible to use a tool such as Visual Integrator to export and re-import changed data to all the affected files. I feel your risk of (a) missing a transaction or (b) posting back a transaction that didn’t balance would be high. The cost/benefit of having a reputable consulting firm do that work would also be questionable with a non-binding estimate of anywhere from $3k to $6k depending upon volume of transactions seeming like the probably quotes you’d receive. That estimate also doesn’t take into account your staff time internally. I don’t recommend trying to change the numbering through an export/import.
